Zen Planner Pricing and Reviews (2026)

Zen Planner runs three core plans, Studio, Essentials and Ultimate, and it publishes the exact price of all three at every active-member band, from $99 a month up to $289 a month on Studio. That table is not on its pricing page, which shows only three starting-at figures, which is why Zen Planner is usually written up as a vendor that hides its ladder. Prices below were checked on 25 September 2026.

Zen Planner Studio prices rising across its eight published active member bands
In short
  • Studio runs from $99/month at up to 45 active members to $289/month at 251 and above, across eight published bands.
  • Essentials costs exactly $99/month more than Studio and Ultimate exactly $249/month more, at every single band.
  • The full ladder is published on Zen Planner's active member tiers page, not on its pricing page, which shows only starting-at figures.
  • No annual price is published for any plan or add-on; the FAQ only says an annual contract is "available on request", with no discount shown.
  • Zen Planner Payments, its own processing product, is listed simply as "Custom pricing", with no percentage or per-transaction rate published anywhere on the page.
  • Zen Planner never charges for prospects or staff, only for Active Members, defined as anyone with a membership or who has attended an event in the past month.

What does Zen Planner cost?

Zen Planner prices on "Active Members", which it defines as anyone with a membership or who has attended an event in the past month. Its pricing page shows three starting-at figures and no table, but a separate active member tiers page publishes the whole grid: eight bands, three plans, twenty-four prices, no gaps. Our gym software cost calculator lines up what all eight vendors publish at your member count.

Two things fall out of that grid. The gap between plans never moves: Essentials is always $99 a month over Studio and Ultimate always $249, so the plan decision is the same money whether a studio has 40 members or 400. And the ladder flattens as it climbs, with $34 a month between the 76 to 100 and 101 to 150 bands but only $10 between 101 to 150 and 151 to 200, so growth costs most on the way through 100 members.

Outside the three named plans, Zen Planner sells a New Business Bundle at a starting figure of $199/month, aimed at new studios and bundling Essentials-level features with a custom website and branded app. Website and Engage are also sold as standalone products, starting at $99/month and $249/month respectively, for a studio that wants one piece without the full plan around it.

What costs extra on top of the plan price?

Two add-ons carry a flat, published price. Everything else that could add to the bill, payment processing and any setup fee, is left unstated.

  • Branded mobile app. $39/month, a fixed add-on price on top of whichever core plan is running.
  • Card readers. $39/month for the physical hardware and service needed to take payments in person.
  • Zen Planner Payments. Listed only as "Custom pricing". No percentage, per-transaction rate or flat fee appears anywhere on the page.
  • Setup or gateway fee. The FAQ states there is no setup or gateway fee "with select preferred integrated payment processors", which implies one can apply outside that arrangement, but no amount is given.
  • Prospects and staff. Explicitly free. The FAQ states plainly there are no charges for prospects or staff, only for active members.

What Zen Planner's own page does not tell you

Anyone searching for reviews rather than a headline number is usually looking for what the vendor leaves out. Because Zen Planner does publish its member-count ladder, the list here is shorter than the category average: an annual discount, a processing rate and a setup fee.

  • The ladder is published but buried. The pricing page carries three floors and no link to a number; the eight-band table sits on a separate active member tiers page, where Gymdesk puts its four bands from $75 to $200/month on the pricing page itself.
  • No annual pricing at all. There is no annual figure for any plan or add-on and no monthly/annual toggle. An annual contract is only described as "available on request", with no discount shown.
  • No payment processing rate. Zen Planner Payments is "Custom pricing" with no percentage or per-transaction figure, where PushPress publishes exact card and ACH rates per tier and Wodify states rates "as low as" a specific floor.
  • No setup fee amount. The FAQ implies a fee can exist outside preferred payment processors but never states one.

On the ladder itself, Zen Planner is ahead of most of this category. Mindbody names $79 a month per location for Starter on a separate pricing explainer, while all three tiers on its actual pricing page sit behind a "Let's talk" button. Glofox publishes nothing at all: its pricing page is a three-step form and carries no figure in any currency. If a published tier grid matters more than the brand, Mindbody alternatives covers the vendors that show one.

Cons
  • The full price grid sits on a separate page from the pricing page, so the headline figures read as floors with no ladder behind them
  • No annual price anywhere, and no discount for prepaying
  • Zen Planner Payments carries no published processing rate, unlike several rivals here
Pros
  • Publishes the exact price of all three plans at all eight member bands, which most of this category does not
  • Publishes the exact price of all three plans at all eight member bands, which most of this category does not
  • No charges for prospects or staff, only for active members
  • No setup or gateway fee with select preferred integrated payment processors
  • Every plan, including the entry Studio tier, includes payroll, reporting and both member and staff mobile apps

How does Zen Planner's starting price compare?

Comparing entry figures across this category is imprecise, since each vendor scales price differently and two of these do not scale at all, but the entry points are worth lining up.

Gymdesk's Micro Gym undercuts Zen Planner Studio below 50 active members, and the two are the only vendors here that publish a complete band table at all. PushPress starts at $0/month and its paid Pro plan covers unlimited members for a flat $159/month, a different model entirely from Zen Planner's active-member scaling, though PushPress recovers it on processing at 4.99% plus 30 cents per card transaction on that free tier. Wodify's $99/month figure is an offer against a struck-through $199/month, tied to a demo deadline, so check it still holds at the time of reading.

Who is Zen Planner worth the price for?

Zen Planner fits a martial arts or fitness studio that wants belt and skill tracking alongside billing, payroll and reporting in one system, and that wants to price the software at its own member count without talking to sales first. It is a weaker fit for a studio that wants a flat fee regardless of growth, since crossing 100 members adds $34 a month before any plan change, or for one that needs a processing rate in writing up front. The Zen Planner alternatives page compares it against six other options on price.

Scraler is not a gym management system: it has no access control, no membership cards, no kiosk check-in, no turnstiles and no point-of-sale retail, all areas the gym management software category is built around. What Scraler does have is studio and team management, multiple locations, classes with capacity, public booking, Stripe payments, and a white-label app on its top tier, aimed at coaching-led studios rather than access-controlled gym floors. A studio that needs door hardware and membership card scanning should look at a dedicated gym management system instead.

Scraler Premium is $69 a month for up to 100 clients, with Ultimate running by tier from $109 a month at 100 clients up to 500. An archived client comes off that count immediately rather than sitting on the books, and pricing never changes based on how many prospects or leads are in the system either.

Frequently asked questions

How much does Zen Planner cost per month?
Studio runs from $99 a month for up to 45 active members to $289 a month at 251 and above. Essentials costs $99 a month more than Studio at every band and Ultimate $249 more, so the full published range across all three plans is $99 to $538 a month.
Does Zen Planner charge based on how many members a studio has?
Yes, and it publishes the whole ladder. Prices scale with "Active Members", defined as anyone with a membership or who attended an event in the past month, across eight bands from 0 to 45 members up to 251 and above. That table is on its active member tiers page rather than its pricing page.
Is there an annual pricing discount for Zen Planner?
No annual price appears anywhere on its pricing page and there is no monthly/annual toggle. The FAQ mentions an annual contract is "available on request", with no discount figure shown.
What does Zen Planner Payments cost?
It is not published. Zen Planner Payments, its own processing product, is listed simply as "Custom pricing" with no percentage or per-transaction rate stated anywhere, which is the one figure its published ladder does not cover.
Is Scraler a substitute for Zen Planner?
Only for coaching-led studios. Scraler has studio and team management, multiple locations, capacity-limited classes, public booking and Stripe payments, but no access control, membership cards, kiosk check-in, turnstiles or point-of-sale, which a dedicated gym management system provides.
