Gym management software cost calculator
Enter how many active members you have, tick the features you actually need, and this lines up what each gym and studio platform publishes. Three of the seven price every tier they sell, three price only their entry tier, and one publishes a floor with nothing behind it. Two of the three complete ladders live on a page other than the vendor's pricing page, which is why this category reads as more secretive than it is.
Mindbody on Starter, per location, which is $0.53 per member a month.
PushPress has a free plan with unlimited members, paid for in card fees: 4.99 percent plus /usr/bin/bash.30 a transaction against 2.89 percent on its paid tier.
Glofox publish no price at this size, so the cheapest figure above is only the cheapest of those that do.
| Platform | What is published | At 150 members | Per member |
|---|---|---|---|
| PushPress | Free | $0 | $0 |
| Mindbody | Starter, per location, no member limit published, and the two tiers above it are unpriced | $79 | $0.53 |
| Wodify | Essentials, promotional $99, regular $199, per location, no member limit published, and the two tiers above it are unpriced | $99 | $0.66 |
| Gymdesk | Medium Gym | $150 | $1 |
| TeamUp | 101 to 200 active customers | $189 | $1.26 |
| Scraler | Ultimate | $199 | $1.33 |
| Zen Planner | Studio, 101 to 150 members | $229 | $1.53 |
| Glofox | No figure published at any size; pricing is behind a three-step form | Not published | n/a |
Scraler is in the table for comparison, not as a like-for-like replacement. It has no access control, no membership cards, no kiosk check-in and no point of sale, and it counts active clients rather than members. Tick door access or point of sale above and it drops out, which is the honest answer. If you coach clients rather than run a turnstile, the coaching software cost calculator is the comparison that fits.
Almost nobody in this category publishes a price
Coaching platforms mostly print their prices. Facility platforms mostly do not, and the gap is stark once you line them up.
- Gymdesk is the only one with a full ladder: $75 to 50 members, $100 to 100, $150 to 200, $200 to 400.
- PushPress publishes flat prices with unlimited members: free, $159 Pro, $229 Max.
- Wodify publishes one figure, $79 for Essentials, and nothing for the two tiers above it.
- TeamUp prices by active customers on a slider, but only the 101 to 200 bracket at $189 renders without dragging it.
- Zen Planner publishes the fullest grid here, three plans across eight active-member bands, from $99 to $289 a month on Studio, but on a separate tiers page rather than its pricing page.
- Glofox publishes nothing at any size. Its pricing page is a three-step form and the $99 floor older comparisons quote has been removed.
- Mindbody publishes $79 a month per location for Starter on its pricing explainer, and nothing for the two tiers above it.
Where a vendor publishes only an entry tier with no member limit, the calculator says so on the row rather than carrying that figure up to any size, because presenting it as the price at 400 members would be the same trick the pricing pages are already playing.
Plan price only. Mindbody and Wodify are priced per location, so a second site doubles the base figure, and each publishes only its entry tier with no member limit attached, so their figure is shown once rather than carried up the chart. A bar marked “from” is a floor the vendor publishes without saying where it stops, not a price at that member count.
What quote-gating costs you
A hidden price is not neutral. It means the number you are quoted can depend on what the salesperson thinks you will pay, and you have no published figure to anchor against.
It also makes switching cost harder to judge. If you cannot see the next tier up, you cannot model what growing from 150 to 300 members does to your software bill, which is exactly the decision a growing studio needs to make.
The two platforms that publish most plainly here, Gymdesk and PushPress, are also the two you can evaluate without talking to anyone. That is worth something on its own.
What the figures leave out
Plan price is only part of the bill in this category.
- Card processing. PushPress charges 4.99 percent plus $0.30 on its free plan against 2.89 percent plus $0.30 on Pro, so the free plan is paid for in fees. Wodify is 2.6 percent plus 25 cents.
- Hardware and door access. Gymdesk sells door access at $100 a month for up to three doors, plus $29 a month per extra door, with hardware quoted separately.
- Add-ons. Zen Planner charges $39 a month for a branded app and another $39 for card readers. TeamUp charges $99 a month for a custom branded app.
- Onboarding. Wodify confirms a setup fee exists without publishing it.
None of that is in the table, because none of it can be worked out from a member count alone.
Frequently asked questions
- Does Mindbody publish a price?
- It publishes one. Starter is $79 a month per location, though that figure sits on a pricing explainer article rather than on its pricing page, which shows no tier prices at all. Accelerate and Ultimate remain contact for pricing.
- What does "from $99" mean in the table?
- For Glofox it is a floor, not a quote: it says prices scale with active members but publishes no ladder, so $99 is the least you could pay rather than what you would pay at your size. Zen Planner does publish its ladder, so the figure shown for it is the real price at your member count.
- Why is Scraler in a gym management comparison?
- For contrast, not as a like-for-like option. It has no access control, no membership cards, no kiosk check-in and no point of sale, and it counts active clients rather than members. Tick door access or point of sale in the filter and it drops out of the table, which is the honest answer for a facility that needs those.
- Which of these should I buy if I need door access?
- From the published information, Gymdesk sells a door access add-on at $100 a month for up to three doors, and TeamUp lists access control on its plan rather than as an extra. Everything else would need a sales conversation to find out.
- How current are these prices?
- Every one was read off the vendor's own live site on the date shown under the calculator, in a real browser where the page blocks automated fetches (Wodify) or renders its prices with JavaScript (TeamUp). The weakest figure is Wodify's: $99 is an offer tied to a 31 October demo deadline, against a regular price the page gives as $199.
- Does the member count change every platform's price?
- No, and that is part of the point. Gymdesk, Zen Planner and TeamUp step with member count and publish every step. PushPress genuinely does not move, because it states unlimited members on every plan. Mindbody and Wodify look like they do not move, but only because each publishes one entry tier and no member limit for it, so their figure stops meaning anything above a size nobody has named. Glofox publishes nothing at all.
