Fitness Manager Software for Small Studios: 9 Tools Priced (2026)
Fitness manager software runs a studio's bookings, payments, client programs and staff logins in one place. For a studio with three trainers and 50 active clients, the published list prices of nine tools run from $0 to $159 a month. The right pick depends on whether you sell classes or coaching.

- For a 3-trainer, 50-client studio, list prices run from $0 (PushPress Free, plus card fees) to $159 (Pike13 Essential). Most land between $79 and $135.
- Class-based tools (Mindbody, Pike13, TeamUp, Gymdesk, PushPress) rarely list workout programming or meal plans. Coaching platforms (Trainerize, Everfit, My PT Hub, Scraler) do.
- Check how the price grows. Some tools charge per client or member, some per plan, and My PT Hub adds $10 a month for every extra trainer.
- Add-ons change the real cost. Trainerize Pro at 50 clients is $135, but about $215 with scheduling, payments and nutrition added.
- Scraler is the only plan here that lists all six core studio features without an add-on, but it has no door access or point of sale.
This guide is for boutique studios, personal training studios and small teams of two to ten coaches, not for 24-hour gyms. If you run a big facility with turnstiles and a front desk, start with our gym management software comparison instead. Here the question is simpler: what does it cost to give three trainers one system for clients, bookings, programs and payments? Solo coaches without a studio should read our guide to personal trainer software instead.
Every competitor price below was read on the vendor's own pricing page on 7 October 2026. The 3-trainer, 50-client comparison is a worked example we built from those pages, so check the current page before you buy. Scraler is our own product, and we say where it does not fit.
What is fitness manager software?
Fitness manager software, also called fitness studio software or fitness business management software, is the system behind the studio. It holds the client list, takes bookings, collects recurring payments and gives each trainer a login. Beyond that, the tools split into two families.
- Class and membership tools. Mindbody, Pike13, TeamUp, Gymdesk and PushPress are built around a schedule, memberships and check-in. They suit a studio that sells classes and passes.
- Coaching platforms. Trainerize, Everfit, My PT Hub and Scraler are built around the programme: workouts, nutrition, check-ins and chat. They suit a studio that sells coaching, with sessions as one part of it.
Many boutique and PT studios sit in the middle, selling both a few classes and personal coaching. That is why the comparison below looks at price and at what is actually listed on the plan.

Treat the sort order with care. A $79 tool that lists no workout builder and a $135 tool that does are not the same purchase. Our coaching software cost calculator and gym management software cost calculator let you run your own client count through the same logic.
How does studio software charge as you add trainers?
The headline price matters less than what moves it. Three models show up on these pages.
- By client or member count. Trainerize, Everfit and Scraler price by client seats or tiers. TeamUp counts customers who booked or bought that month. Gymdesk leaves out visitors, frozen or cancelled members and prospects. Your bill follows your growth, not your headcount.
- Flat plan with unlimited staff. Mindbody lists unlimited users on every plan, and Pike13 and PushPress list unlimited staff. Adding a fourth trainer costs nothing extra, but Mindbody is priced per location.
- Per trainer on top. My PT Hub charges $10 a month for each additional trainer, so 3 trainers is $79 and 6 is $109 on the Premium plan.
If you plan to hire, model the studio you want in a year, not the one you have. A tool that charges by client gets expensive as you fill the diary. A tool that charges by trainer gets expensive as you hire. If you are still at the planning stage, see how much it costs to open a gym.
Which features does a small studio actually need?
Start from the list of things you do every week, then check each tool against it. For most boutique and PT studios the core is six items: booking, payments, workout programming, nutrition, a client app and separate logins for each trainer. Booking is covered in more depth in personal trainer scheduling software.
Read the dashes as "not listed on the pricing page", not "does not exist". The class tools often have programming features elsewhere on their site, and the coaching tools often have a booking module that is simply priced separately. The point of the matrix is to show where you will be asked to pay more.
What does each tool cost and who is it for?
Mindbody
Mindbody lists "starting at $79 USD/month per location" with unlimited users and no fees for extra logins. The three plans are Starter, Accelerate and Ultimate, and a branded app is a paid add-on. It lists your studio on the Mindbody consumer app, which the page says reaches 3M+ monthly shoppers, so it suits a studio that sells mainly classes and appointments and wants that exposure. See Mindbody pricing for the full read.
Pike13
Pike13 has three plans: Essential at $159 a month billed monthly ($139 annual), Advanced at $225 ($195) and Premium at $286 ($249). Every plan includes unlimited staff seats and client profiles. Payroll and staff time tracking arrive on Advanced, and the branded app option on Premium. It is a good match for a studio that wants payroll and staff time tracking inside the same system.
Gymdesk
Gymdesk prices by active members: $100 up to 50 members and $125 for 51 to 100, or $25 less on each if you process with Gymdesk Payments in the US or Canada. Unlimited staff accounts and the full feature set are on every plan, with a 30-day trial. It lists martial arts, gym, Pilates and yoga studios, so it fits a studio with memberships and attendance. More in Gymdesk pricing.
PushPress
PushPress has a $0 Free plan with unlimited members and staff, then Pro at $159 and Max at $229. The catch is processing: 4.99% + $0.30 per card payment on Free, 2.89% + $0.30 on Pro. The 2.1 point gap means Pro costs less than Free once card volume passes about $7,600 a month (worked example, before the per-payment $0.30). See PushPress pricing.
TeamUp
TeamUp is one plan priced by active customers: $119 a month for 0 to 100 and $189 for 101 to 200. It is month to month with no setup fee and unlimited locations, and the branded app is a separate $99 a month. It is built for group fitness studios. See TeamUp pricing.
Trainerize
Trainerize Pro runs from $25 a month for 5 clients to $135 for 50 clients. Scheduling and payments sit in a $25 Business add-on, Stripe payments add $10, and nutrition planning adds $45 at that size. As a worked example, 50 clients with all three is $135 + $25 + $10 + $45 = $215 a month. Studio Plus starts at $275 and includes the add-ons. See Trainerize pricing.
Everfit
Everfit Studio is $105 a month at 50 clients and $165 at 100, billed monthly, with team member management included. Payments and packages start at $9 and advanced meal plans and recipe books at $39 as add-ons. White label is on the Enterprise plan. See Everfit pricing.
My PT Hub
My PT Hub Premium is $59 a month with unlimited clients and $10 for each additional trainer. A custom branded app is a $95 one-time fee. The Ultimate plan at $215 includes five additional trainers. See My PT Hub pricing.
How does Scraler handle a studio team?
On the Ultimate plan, every coach gets their own login to the studio dashboard. You create custom roles such as Senior Trainer or Nutrition Coach, set permissions for workouts, meal plans, scheduling, chat and finances, and assign specific clients to each coach. An activity log shows who did what and to which client, and there is a team chat kept apart from client conversations.
Ultimate is $109 a month for up to 100 clients (EUR and GBP 99), so a studio with 50 clients pays the 100-client tier. It also includes the white-label app, custom domain, automations and multiple locations. What Scraler does not have: door access, kiosk check-in or a point of sale. If you need those, pick one of the class tools above.
Scraler studio management gives each coach their own login, custom roles and permissions, per-coach client assignments and an activity log.

How do you switch studio software without losing clients?
- 1.Export first. Download your client list, active memberships and payment schedule before you cancel anything.
- 2.Trial with one trainer. Move one trainer and five clients for two weeks and see what breaks.
- 3.Check how payments move. Recurring card subscriptions often have to be recreated, so plan a cut-off date and tell clients in advance.
- 4.Move in batches. Switch one trainer or one class group at a time, not the whole studio on a Monday.
- 5.Cancel last. Keep the old tool for one billing cycle until the new bookings and payments are confirmed.
Several vendors offer to import data for you. TeamUp, for example, says on its pricing page that it provides an expert to import your data. Ask for this in writing before you sign up. If you are moving in-person clients to coaching apps, our guide to moving in-person clients online covers the client side.
Frequently asked questions
- What is the best fitness studio software for a small studio?
- It depends on what you sell. For classes and passes, Pike13, TeamUp, Gymdesk and Mindbody are built around the schedule. For coaching with programs and nutrition, Scraler, Everfit, Trainerize and My PT Hub list workout builders and meal plans. Price a 3-trainer, 50-client scenario on each before you choose.
- How much does fitness studio software cost per month?
- For a studio with 3 trainers and 50 active clients, list prices on nine tools run from $0 to $159 a month. Mindbody starts at $79, Gymdesk is $100 for up to 50 members, and TeamUp is $119 for up to 100 active customers. Add-ons and card fees come on top.
- Is there free fitness studio software?
- PushPress has a Free plan at $0 a month with unlimited members and staff, but card payments cost 4.99% + $0.30. Trainerize has a free plan limited to 1 coaching client. Neither covers a full 3-trainer coaching studio without paying for more.
- Do I need gym management software for a personal training studio?
- Usually not. Gym management software is built around access control, membership cards and point of sale. A PT studio mostly needs client management, scheduling, payments and programming, which coaching platforms cover. Choose a gym system only if you need door access or a front desk.
- Can several trainers share one account?
- Yes, but the pricing differs. Mindbody, Pike13, Gymdesk and PushPress list unlimited staff. My PT Hub charges $10 a month per added trainer, and Scraler includes team management on Ultimate with roles, permissions and per-coach client assignments.
